The schedule, worked backwards from the AGM
AGM date minus 7 days: copies with you
Allow 2–7 days of transport within India, plus a day of contingency. Do not plan to receive stock the day before the meeting.
Minus 12 to 32 days: production
Eighteen to twenty-five days for a perfect-bound report, 12–18 for saddle-stitched. Lamination and spot UV sit inside that; foil adds 2–3 days.
Minus 35 days: plates
Written approval on the final proof plus 50% advance. From this moment a corrected figure means a re-plate of the whole forme, not of one page.
Minus 40 days: hard proof approved
A digital proof comes back in 1 working day; a hard proof by courier takes 2–3 days more. On a report with financial tables, take the hard proof.
Minus 45 to 50 days: content frozen
The audited figures, the directors' report and the notes are signed off. Everything above this line is printing; everything below it is governance, and printing cannot absorb a delay in governance.
Why the proof stage matters more here than anywhere else
On most print jobs a late correction is irritating. On an annual report it can be expensive and occasionally serious. Once plates are made, changing a single figure in a table means re-plating the entire forme that page sits on — up to 16 pages of the report — and re-running that section. If the report is already bound, it means reprinting and rebinding.
So the protocol we ask for is specific. The person who owns the numbers checks the numbers on the proof — not the designer, not the marketing manager, not the agency. The proof is signed page by page. Financial tables are checked against the signed accounts rather than against the draft the designer was given, because a late audit adjustment that reached finance and not design is precisely the failure that happens every year at somebody's company.
Two practical points that save trouble. First, take a hard proof rather than only a digital one. Colour on a screen is not colour on 130 GSM matt art paper, and a report with photography and brand colours will look different from what you approved. Second, if there is any chance the figures will move, print the narrative section and the financial section as separate formes so that a late change affects one of them rather than both. It costs a little more in imposition and saves a great deal when it is needed.
Specification choices worth thinking about
What works
- Matt lamination with a spot UV logo on the cover — the standard corporate finish, and it costs very little more than gloss
- One hundred and thirty GSM matt-coated art paper for the narrative: images hold up and body text is comfortable to read
- An uncoated 100 GSM maplitho section for the accounts — cheaper, easier to read, and it visually separates the financials
- Perfect binding above 48 pages; saddle-stitch below it. Under about 3 mm of spine, glue will not hold
- A short-run digital version of 50–100 copies for board circulation, printed early, before the offset run
What causes trouble
- Approving a digital proof only, on a report with photography and a corporate colour
- Full-bleed dark photography across a gutter on a perfect-bound report — it will not open flat and the image breaks
- Fine reversed-out text over a four-colour rich black; register variance makes it fuzzy
- A page count that is not a multiple of four, discovered at imposition
- Planning the print schedule from the AGM date without subtracting transport and contingency

Do you print sustainability and CSR reports too?
Yes, on the same specification and schedule. If the report's subject is sustainability, the consistent choice is uncoated or recycled stock without lamination, which is both cheaper and genuinely more recyclable than a matt-laminated art card cover. Can you deliver to multiple offices before the AGM?
Yes, with a packing list per destination against one GST invoice, and carton marks per address. Send the destination list before production finishes. Plan the delivery date at least seven days before the AGM: transport within India takes 2–7 days and the day before a statutory meeting is not the day to discover a delay.
